In the e-NOTUM service, different states have been defined in which a notification can be found, from the time it is sent to the platform until it is accepted or rejected. The following graph details all the notification states in the e-NOTUM:

notification lifecycle

The description of each state is as follows:

Registered Status

The notification is in this state when the documents are already uploaded and the notification is already registered.

When the notification is in this status, e-Notum will deposit it and create evidence of deposit, moving to Deposited or, if the process fails, it will be retried a defined number of times and, if none of them ends correctly, the notification will move to the Error status.

Deposited Status

The notification enters this state when the notification has been deposited. This state is only reached from the Registered state.

In this state, notification recipients are notified that they have received a notification and can access the application to check their notifications. This information is sent via email and/or SMS to the recipient's phone.

If the citizen does not carry out the notification, it remains in this state for the duration of the notification. When this period expires, the system automatically rejects the notification, creating evidence of rejection and the notification goes into the Expired state.

When the notification is in this state, the citizen can decide to accept or reject the notification (only if they access the Dehú).

Status Accepted

This is a final state, which occurs when the recipient accesses the notification content.

At this time, a document is generated that shows the opening of the notification by the recipient and therefore, the notification is recorded as having been made, and processing can continue.

Status Rejected

This is a final state, which occurs when the recipient decides to reject the notification expressly or tacitly (only in the case of notifications displayed in Dehú).

At this time, a document is generated that evidences the express or tacit rejection of the notification by the recipient and therefore, the notification process is understood to have been completed, and the processing can continue.

Expired Status

This is a final state, which occurs when the recipient has not accessed the content of the notification within the established time limit to do so and e-NOTUM changes its state to this final state.

At this time, a document is generated that shows the automatic expiration of the notification by e-NOTUM and therefore, the notification process is understood to have been completed, and the processing can continue.

Error Status

Notifications that have been involved in the execution of some system process that has repeatedly produced errors reach this state.

In this state, notifications cannot be accepted or rejected by either the citizen or the system.

Status Canceled

Once in this state the notification cannot be changed to a previous state.

The notification reaches this status when the entity that generated the notification requests that it be cancelled. There are several reasons that can motivate the cancellation of a notification: that it contains erroneous data, that the file that motivates it has been declared null and void, etc.

Cancellation of a notification can be done by a user with the Employee role through the e-NOTUM application of the EACAT portal or through the integration cancellation option. In the following FAQ you can find the guide on how to cancel a notification.

In the case of communications, the life cycle is as follows:

How have these states been translated into the citizenship portal?

On the citizenship portal, these states have been translated into plain language, easier and more understandable for users, and although the evidence includes the states described above, on the citizenship portal the following literals are shown:

  • Deposited >> On time (The notification is available and pending to be opened).
  • Accepted >> Opened (The notification has been opened within the deadline, and therefore is recorded as completed).
  • Expired >> Overdue (The notification has not been opened, but is recorded as completed, because the deadline for doing so has expired).
  • Rejected (expressly or tacitly) >> Rejected (The notification has not been opened, but has been expressly rejected, and therefore is recorded as having been made).

Notifications in the "Cancelled" status cannot be viewed from the citizen portal.
